2020 REFUND AND BILLING POLICIES
Summer Day Camp
A deposit of $50 per child per camp week is required at the time of registration. Deposits are non-refundable at anytime. There is a once-per-summer non-refundable registration fee of $35 per camper.
Due to Covid-19, if Kidventure is not allowed to operate its summer camp, we will refund all tuition payments minus the deposits and registration fees. Those deposits will be applied to any Kidventure program once we are allowed to operate for the remainder of this year or 2021. Summer Day Camp Mandatory Automatic Billing
Payment of the remaining balance for each summer camp week is due 10 days prior to the start of that week. If you have not paid in full by the due date, the credit or debit card on file will automatically be charged the remaining balance.
Summer Day Camp Cancellations Made Before Automatic Billing
Cancellations must be made in writing by noon, on Friday, one full week prior to the start of the week you wish to cancel (10 days out). If you do not submit your cancellation request by this time, your card on file will be charged for the remaining camp week tuition and you will not be eligible for a refund in any amount.
If you have already paid in full for a camp week and cancel by noon on the Friday one full week prior to your session starting (10 days out), you will receive a refund for your money paid, less your $50 deposit.
Deposits paid toward cancelled weeks of camp cannot be applied to an existing week of camp or any previously registered week of camp, regardless of current status.

Transfers Made Before Automatic Billing
Deposits are non-refundable at anytime, however they can be transferred to any new camp week(s) of your choosing. Subject to availability, your deposit for one week of camp can be transferred to an additional (new) week of camp. Transfer requests must be made at least 10 days prior to the beginning of a session.
Late Registration Administrative Fee
Any day camp registrations added after online registration closes will incur a $15 administrative fee. Online registration closes at midnight on the Thursday before each camp week starts.
Cancellation Requests for All Kidventure Programs
Cancellation requests must be submitted to our office in writing, either via email or fax. Not attending the program for any reason does not entitle you to a refund. When you register your child, you are reserving space, time, and staffing whether or not your child attends the program.
There is no charge to place your camper on the waitlist. If a spot becomes available we will notify you via email and by phone. If you wish to claim this open spot, you will be given 24 hours to do so. Any notice after the 24-hour deadline will not guarantee a spot for your camper.
There is a non-refundable registration fee of $35 plus a non-refundable deposit of $100, both of which are due at the time of registration. Payment of the remaining balance is broken out into two payments. 50% of camp tuition is due by March 1, 2020 and the remaining camp balance is due May 1, 2020. These payments will be automatically charged on the above dates. After March 1st, no money paid toward tuition is refundable.
Winter day camp tuition is due in full at the time of registration. All payments are non-refundable.
Thanksgiving day camp tuition is due in full at the time of registration. All payments are non-refundable.
Spring Break day camp tuition is due in full at the time of registration. All payments are non-refundable.
Cancellation requests must be submitted to our office in writing, either via email or fax.
CAMPER HEALTH AND WELL-BEING
If your child is sick and cannot attend camp, please notify your camp office as soon as possible. If sickness or injury prevents your child from missing camp, Kidventure requires that you submit a doctor’s note to your camp office to receive a refund for the days missed less the $50 deposit. In order for a refund to be considered, you must submit a doctor’s note within the same week that your child was absent from camp. Doctor’s notes can be emailed or faxed to your camp office.
If your child will be taking any medication while at camp, you must fill out a Kidventure Medical Dosage Form. This form must be turned into the Camp Director with the medication inside its original container. All medication will be dispensed by the campsite Director per your instructions. Our staff will not administer any medications that need to be given with an open needle.
Kidventure follows the Centers for Disease Control and Prevention policy for lice situations at camp. If a camper is found to have nits, they will not be sent home. Kidventure will notify the child’s parent or guardian that nits were found as we conduct a louse check of the camper’s small group. If we find that live lice are present on a camper, that camper will be sent home. An email will then go out to the families of campers in the same small group as the camper on whom live lice were found. Our staff is not professionally trained to confirm that live lice are present. To follow up, we recommend that parents or guardians conduct a lice check at home or have a check conducted by a trained professional.
An immunization record is required to be on file with us for campers to attend our programs. You are responsible for providing a copy of your child’s current record before they attend their first day of camp. We do accept immunization exemption forms issued by the Texas Department of State Health Services. We also recognize that exemption forms are only valid for two years.
Our Discoverer program is for potty-trained children ages 3-5. Fully potty-trained means campers should not be in pull ups. Campers should be able to wipe themselves and they should not have frequent potty accidents. All Discoverer campers should be sent with a change of clothes just in case. In the event of a potty accident, we will put the camper into dry clothes (if provided) or call home to request that dry clothes be brought to the campsite. If dry clothes are provided, the campsite director will call to inform you that your child will be sent home with soiled clothes in a Ziploc bag. When any potty accident occurs, our campsite director will do their due diligence to ensure that proper protocols are being followed (i.e. making sure we implemented frequent restroom breaks, finding out whether or not the camper asked to go potty, etc.) and inform you of the situation. We will then work with the camper, counselors, and parents to develop a plan to prevent future potty accidents.
If it becomes evident that in spite of our best efforts, the camper continues to have potty accidents, Kidventure reserves the right to remove campers from the program until they are fully potty trained. We understand accidents can happen and we will work with families if an accident does arise; however, we do practice a Three Strike Policy. After the third “strike,” or accident, campers will not be able to continue at camp.
Kidventure seeks to prevent behavioral issues with children through positive reinforcement and setting clear expectations. It is our goal to acknowledge and reinforce wanted behaviors. Discipline should be viewed as a teaching moment and counselors are responsible for helping campers understand why a behavior is inappropriate, what the appropriate behavior is, and how it can be accomplished.
Kidventure follows a three strike (three step) method in handling behavioral issues. Kidventure Camp has the right to dismiss a camper without refund for any disruptive, disrespectful, or threatening behavior that jeopardizes the safety of themselves, other campers, or staff.
Kidventure is proud to operate device-free campsites. All cell phones must be kept off and put away in a bag, or preferably, left at home! Campers are permitted to wear smartwatches for non-communication (text or call) purposes only. Campers who use technology without permission will have the option of putting the device in a personal bag or handing it over for safe storage with the Camp Director. Please note that if you choose to send technology with your camper, Kidventure is not responsible for its safekeeping unless it is handed directly to the Camp Director.
If campers are not signed up for Catered Lunch (not available at our Dallas/Fort Worth sites), parents are responsible for providing their campers with a lunch each day. Our staff will do their best to notify you as soon as possible if your camper has forgotten their lunch, and it is your responsibility to bring them their forgotten lunch. In the event of an emergency where you cannot bring your camper their forgotten lunch or a replacement, Kidventure will provide your child with a lunch. At this point a $15.00 Forgotten Lunch Fee will be charged to your account. This Forgotten Lunch Fee covers the cost of the lunch as well as the resources required for a staff member to purchase and deliver that lunch to your camper. This fee will be charged on each occasion, and cannot be waived.
ONSITE VISITOR POLICY
If you are wanting your child to work with a tutor during the camp day, we ask that they be added as an authorized pickup person. The tutor may then check your child out of camp and provide any services you have set up. We will not be able to guarantee space at camp for one-on-one tutoring services. Upon completion, the tutor will be allowed to check them back into camp.
Campers need to be able to function within our ratios to attend camp. Families are welcome to provide an outside aid to help campers have a successful camp experience. If extra support is needed, aids will be required to pass a background check and complete a sexual abuse prevention training
If parents have any questions we are always happy to help and will direct you to the site Director. Parents are welcome to get familiar with our facilities and to help their child(ren) transition into our camp programs; but for safety reasons we do ask that parents not linger at the campsite.
If both parents are listed on the child’s registration, we will assume both parents have equal rights to pick-up/drop-off, visit, or request information regarding the child. It is the parent’s responsibility to provide court documents to clarify the rights and responsibilities of parents and/or guardians. We will only adhere to the guidelines of the most current court documents. We ask that parents not involve Kidventure and our staff in any legal proceedings. Failure to adhere to this request may result in disenrollment from our programs.
AUTHORIZATIONS AND RELEASE INFORMATION
I hereby grant to Kidventure Inc. permission to take whatever action in its judgment may be necessary in supplying emergency medical services to the named child(ren). I understand that, consistent with the circumstances of the situation and available time, Kidventure Inc. will make every effort to contact and follow the instructions of the parent or legal guardian, physician, or other person designated by me. In the event Kidventure Inc. is unable to contact the parent or guardian, physician, or other persons listed, I hereby agree that I will be solely responsible for and will pay promptly any expenses which may be incurred by Kidventure Inc. in making emergency medical treatment to the named child(ren).
I am giving my child(ren) my permission to participate in the described supervised, organized activity sponsored by Kidventure Inc. I understand and am aware that such activity involves a risk of injury from my child(ren)’s participation in the said activity and that I am voluntarily giving permission to participate in this activity. I hereby agree to expressly assume and accept any and all risk of injury from my child(ren)’s participation in this activity. I do hereby and forever discharge, release, indemnify, and hold harmless Kidventure Inc. and the hosting locations and their employees, the Association, Board of Directors, officers, agents and managing parties for and on behalf of myself and my minor child(ren) and our respective heirs, successors and assigns from any and all liability, rights of action, causes of action, losses, claims, demands, cost and expenses for damages and/or personal injury that may arise in conjunction with my child(ren)’s participation in this activity.
I understand that photographs, video and/or digital images (hereinafter images), may be taken of my participation or my minor’s participation in various activities while at camp. I understand that no names or personal contact information will accompany any images. I understand that these images may be used in slide shows, web-site photo albums, video yearbooks, and other promotional materials and/or publications. I acknowledge below that I do consent to such images of my likeness or my minors likeness being taken and do not request compensation for the use of my likeness or my minors likeness.
I grant Kidventure and host sites the absolute right to copyright, re-use, publish and republish by any medium, including electronically, any photos included that may be taken while participating in a Kidventure event unless otherwise notified in writing. I also understand and accept all information and conditions explained on the Kidventure Website and in the Kidventure Brochure.
I authorize Kidventure to send me text messages regarding Kidventure programs. Texting will be limited and may include notices on weather alerts and important dates. I understand that messaging and data rates may apply. I understand that I may opt out of receiving text messages from Kidventure at anytime by texting STOP to unsubscribe or by contacting our office in writing.
Personal identification information
We may collect personal identification information from Users in a variety of ways, including, but not limited to, when Users visit our site, place an order, subscribe to the newsletter, fill out a form, and in connection with other activities, services, features or resources we make available on our Site. Users may be asked for, as appropriate, name, email address, mailing address, phone number, credit card information. Users may, however, visit our Site anonymously. We will collect personal identification information from Users only if they voluntarily submit such information to us. Users can always refuse to supply personally identification information, except that it may prevent them from engaging in certain Site related activities.
Non-personal identification information
We may collect non-personal identification information about Users whenever they interact with our Site. Non-personal identification information may include the browser name, the type of computer and technical information about Users means of connection to our Site, such as the operating system and the Internet service providers utilized and other similar information.

Kidventure collects and uses Users personal information for the following purposes:
- To improve customer service
Your information helps us to more effectively respond to your customer service requests and support needs.
- To process transactions
We may use the information Users provide about themselves when placing an order only to provide service to that order. We do not share this information with outside parties except to the extent necessary to provide the service.
- To send periodic emails
The email address Users provide for order processing, will only be used to send them information and updates pertaining to their order. It may also be used to respond to their inquiries, and/or other requests or questions.
How we protect your information
We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal information, username, password, transaction information and data stored on our Site.
Sensitive and private data exchange between the Site and its Users happens over a SSL secured communication channel and is encrypted and protected with digital signatures.
Sharing your personal information
We do not sell, trade, or rent Users personal identification information to others. We may share generic aggregated demographic information not linked to any personal identification information regarding visitors and users with our business partners, trusted affiliates and advertisers for the purposes outlined above.
Your acceptance of these terms
By using this Site, you signify your acceptance of this policy. If you do not agree to this policy, please do not use our Site. Your continued use of the Site following the posting of changes to this policy will be deemed your acceptance of those changes.

FINALE AFTER SCHOOL BILLING POLICIES
When selecting the semester pay in full option, you are required to pay the full amount before the beginning of the respective semester. When selecting the semester installment plan you must pay a 10% deposit to pre-register. If you cancel a semester installment plan, we will convert your plan to a month-to-month plan and/or daily rate plan based on how many months/days your student attended our program.This deposit will be applied to your full balance. Refunds or transfer of sessions may be granted on a case-by-case basis pending approval of the Kidventure office. Prorated rates are not available for Finale sessions.
Finale Automatic Billing (Semester Installment/Monthly Option)
The remaining balance for the fall semester installment plan will be automatically charged with the credit or debit card on file on the 3rd, 24th, 25th or 26th of the month. The remaining balance for the spring semester installment plan will be automatically charged with the credit or debit card on file on the 24th of the month prior. Failure to pay may result in your student not being allowed to attend Kidventure After School until payment has been received.
Finale Automatic Billing (Daily Rate Option)
Days attended will be tracked throughout the month and billed the beginning of the following month. Specifically, invoices for days used will be sent to your email address on file on the 5th (or next business day) of every month and will be automatically billed on the 7th (or next business day) of every month.
*If your student attends Kidventure for 10 minutes or longer and is not registered for either the semester or monthly plan, a daily rate will be accounted for. Failure to pay may result in your student not being allowed to attend Kidventure After School until payment has been received.
Kidventure will be providing care on the early release days at Travis Elementary, Sinclair Elementary and select noon dismissals at St. Rose of Lima, St. Theresa and St. Michael’s. These days are included without additional charge for students registered for the semester rate. Students registered for the daily rate will be charged for 2 days if they are checked in before 1:00 PM and are in attendance after regular dismissal time (Travis and Sinclair Elementary). All unregistered students that attend Kidventure for early release will be registered for a daily rate and will be charged accordingly.
The deadlines to register for Encore are August 31st (Fall) and January 11th (Spring). A 10% deposit is required for all Encore Clubs at the time of registration. The remaining balance for all Encore Clubs will be auto-billed on September 15th (Fall) and January 26th (Spring). Payments are non-refundable after billing has been processed for an Encore Club. Prorated rates are not available for any Encore Club. If the Encore Club is cancelled for any reason before the class begins, a full refund will be issued. To receive the discounted rate on Encore tuition, students must be enrolled in the Finale program at the semester rate (paid in full or payment plan).
